How to build a client booking bot
A booking bot takes requests in Telegram or another messenger: the client picks a service, time and specialist, and the request reaches the owner right away. Here is how such a bot works, what it costs and how to launch it.
Who needs a booking bot
A booking bot pays off wherever clients book a service and the owner or administrator spends time on it every day: salons and barbershops, clinics and private specialists, studios, clubs and classes, car services and craftsmen.
Simple signs that booking is ready for automation:
- The administrator answers the same questions: prices, address, free time.
- Clients book via direct messages and their messages get lost between notifications.
- Without reminders, clients forget and the slot sits idle.
- Nobody answers in the evening or on weekends, and the client goes to a competitor.
What a booking bot can do
The minimum scenario has four steps: the client picks a service, a specialist, a free time slot and leaves a contact. You can stop there, or add features that save time every day.
What is usually connected to a booking bot:
- Schedule: the bot offers only free slots instead of negotiating time in a chat.
- Reminders a day and an hour before the visit — no-shows drop noticeably.
- Instant notifications to the specialist and the administrator after each request.
- Answers to frequent questions: prices, address, how to prepare for a visit.
- Connection to the website and CRM: requests from the bot and the site are collected in one place.
- Mailings: announcements and offers to people who have already booked.
Launching a bot in four steps
The first step is a discussion. You describe how booking works now: what services exist, who takes them, what clients ask most often. From this description a dialogue scenario is written — what the bot asks, what it answers and when it hands the conversation to a human.
The second step is a test. The scenario runs on a test bot and you walk through it as a client: pick a service, a time, leave a request. Awkward steps and extra questions become visible and are removed before launch.
The third step is connection: schedule, notifications, the website and CRM if needed. The fourth is launch: the bot starts taking bookings and the first requests go through together with you to check the whole chain.
This cycle takes days, not months. For comparison: sign-up for classes at the Avrora theatre studio in Irkutsk works together with the website — requests with a choice of discipline and teacher reach the administrator in a messenger.
What a booking bot costs
A simple request-taking bot costs from ₽5,000: a service, a time, a contact, a notification to the owner. The price grows with complexity: a schedule with specialist selection, reminders, payments, connection to a CRM and a website.
A good practice is to fix the price and deadline before work starts. Then you know the budget up front and the contractor cannot inflate the project along the way. If the scenario changes, the price changes too — but that is discussed separately, before the extra work.
Choosing the platform
Pick the platform where your clients already are. In Russia this is most often Telegram: creating a bot is free and the client installs nothing. For a Russian audience there is also MAX — we have already connected bots for it to take requests on websites in Irkutsk.
If the audience is split, one bot can serve several messengers at once — one scenario, multiple platforms.
Five mistakes when launching a booking bot
Most bot problems are not technical but scenario-shaped. What gets in the way most often:
- A scenario that is too long: more than five or six steps and the client abandons the dialogue. Keep only what booking needs.
- No handoff to a human: any unusual question should reach the administrator instead of hanging.
- No reminders: a reminder a day and an hour before saves hours of idle time.
- A schedule that is not updated: the bot offers a taken slot and the client loses trust.
- No notification to the owner: the request arrived and nobody saw it. The notification must arrive instantly.

Frequently asked questions
Can I build a booking bot myself?
A simple button-driven bot can be assembled in a no-code builder in an evening. But schedules, reminders and connections to a website and CRM quickly hit builder limits — that is usually the point where people come to a developer.
Will the bot replace an administrator?
The bot takes over typical questions and taking bookings. Difficult cases — a reschedule, a complaint, an unusual request — it hands to a human.
What do I need to start?
A list of services and a short story about how booking works now. You do not need to write a technical brief — the scenario is composed together with the developer.
How long does the launch take?
A simple request-taking bot launches in a few days. A bot with a schedule, specialist selection and reminders takes longer; the deadline is named together with the price before work starts.
